How to Find and Redact Sensitive Information in a PDF

One23PDF TeamSeptember 13, 20266 min read

Before sending a PDF outside your organization, look beyond the visible page. Email addresses, phone numbers, account identifiers, and other personal details can appear in body text, annotations, or appended pages that are easy to overlook.

Why a visual review is not enough

Scrolling through every page can miss repeated values, small footer text, or information hidden in a section you did not expect. A scanner can help surface likely matches, but every match still needs human review because patterns can produce false positives.

Scan the document locally

Use the Sensitive Data Scrubber to scan a PDF for common patterns such as email addresses, phone numbers, and payment-card numbers. The tool is designed to help you review findings before applying changes; it is not a legal or compliance certification.

Review context before removing content

A detected number may be a harmless reference, an invoice total, or information that must remain for the recipient. Check the surrounding text and confirm the intended audience before redacting. Keep an untouched original in an appropriate secure location if your process requires one.

Check the final copy

After applying redactions, search the output again, inspect annotations and metadata, and verify that hidden text cannot be selected or copied. For an additional review, use PDF Info and PDF Metadata before sharing.

Use a complete sharing checklist

  • Confirm the recipient and intended purpose.
  • Scan for common sensitive patterns.
  • Review every finding in context.
  • Remove unnecessary pages and metadata.
  • Open the exported PDF and test search, selection, and copy behavior.

Privacy is a workflow, not a single button. A local scan, deliberate review, and final verification make it easier to share only the information the recipient actually needs.
